What private label means in practice

Private label is often described as simply putting a buyer's label into a supplier's garment. That version of the service is where most problems start, because a garment designed to somebody else's specification will not consistently match a brand's fit, quality level or price architecture. VP Global Exim treats private label as production of your product: your specification, your fit blocks, your fabric and trim standards, your labelling and your packaging, executed by manufacturers selected for that specification.

The service covers the full garment range we export - denim, men's wear, women's wear, knitwear, workwear and layering pieces - so a brand can build a coherent range across categories without appointing a different supplier for each. Because we operate as a merchant exporter rather than a single factory, the range is placed across the units genuinely equipped for each garment type while remaining one contract, one quality standard and one shipment to you.

Two working models are supported. In the first, you supply complete tech packs and we execute them precisely, raising written queries where something is ambiguous or unachievable rather than substituting silently. In the second, you supply a brand brief, a target retail price and a market, and we develop the range with you, proposing fabric, construction and trim combinations against that price. Established brands typically use the first model; new and growing brands typically start with the second and move toward the first as their own documentation matures.

Tech-pack execution and specification control

A tech pack is only useful if it is followed, and followed visibly. When your pack arrives, we review it for completeness and internal consistency before quoting, and we come back with a written query list rather than assuming intent. Missing information - a thread ticket, a stitch density, a tolerance, a care instruction, a trim finish - is resolved in writing at that stage, because an assumption made silently at quotation becomes a defect at inspection.

The approved pack becomes the production file. It carries fabric with weight, composition and construction, trim schedule with supplier or equivalent status, bill of materials, construction and seam detail with stitch types and densities, measurement chart with tolerances by size, artwork and placement templates, labelling and care instructions, and packing and carton specification. Every party works from the same version, and version changes are issued formally rather than by message.

For brands without a mature pack, we build one. Working from reference garments, sketches, photographs or an existing product you already sell, we document construction, produce a measurement chart, specify fabric and trims, and hand you the completed pack as your own document. Brands that own their tech pack retain the ability to move production, quote competitively and brief a second supplier, and we regard that as a legitimate part of the service rather than something to withhold.

Where you already sell a product and want to reproduce or improve it, we reverse-engineer from the physical garment: fabric analysis for weight, composition and construction, pattern take-off and grading, trim identification and equivalence, and a wash or finish match on a trial panel. You receive a counter sample to compare directly against your existing product before committing to bulk.

Branded trims, labelling and compliance

Branding is what turns production into your product, and it is developed as a project rather than ordered as an afterthought. We produce woven and printed main labels, care and content labels, size tabs and neck prints, leather, synthetic-leather, silicone, rubber and jacquard patches, embroidered and applied badges, branded buttons, rivets, zip pullers and drawcord ends, printed pocketing and lining, hangtags, flashers, stickers and seals, and branded polybags, tissue and cartons.

Every branded component is approved on a physical sample before bulk. Colour is matched against your Pantone references, and metal finishes are approved on the actual component rather than on a swatch card, because a plating finish reads differently on a small button than on a sample plate. Artwork is proofed for scale and legibility at actual size, which regularly catches logos that work on a screen and become illegible at 12 millimetres.

Compliance is verified against the destination market before printing rather than after shipment. We confirm fibre content declarations against the actual fabric, care symbols against the fabric and trim combination, country-of-origin marking, mandatory language requirements, size-designation conventions, and any market-specific mark or registration number your labelling must carry. For children's and junior ranges we additionally apply small-parts, cord and drawstring requirements. Incorrect labelling is one of the few faults that can hold a shipment at customs, so it is treated as a technical requirement rather than as artwork.

Development, sampling and approval stages

Private-label development runs through defined stages so that approvals are meaningful. A proto sample confirms the interpretation of the design in available fabric. A fit sample confirms the block and measurements in bulk fabric. A size set confirms the grading across the range. A pre-production sample, made in bulk fabric with bulk trims and processed through the actual finishing route, becomes the production standard against which bulk is judged.

Each round is returned with written comments and photographs, and every comment is answered in the next round explicitly - accepted and actioned, or declined with a reason. This matters more in private label than anywhere else, because the brand carries the reputational consequence of what ships. A comment quietly ignored during sampling becomes a complaint at retail with your name on the label rather than ours.

Salesman and photo samples are produced where your sales or marketing cycle requires them, and we distinguish clearly between a photo sample built for appearance and a production standard built for accuracy. Brands sometimes approve bulk against a photo sample that was hand-finished for a shoot, which is a reliable route to disappointment; we flag it whenever we see it happening.

Quality standards held on your behalf

In private label, the buyer's brand is exposed, so our quality role is to hold your standard against the factory rather than to report on it afterwards. Inspection runs at four checkpoints: fabric and trim inspection before cutting, in-line inspection during sewing, end-of-line inspection after finishing, and final random inspection on packed cartons under an AQL 2.5 sampling plan with a written defect classification.

Because private-label orders often span several garment types and several units, inspection criteria are set per garment type and per unit, and results are reported in a single consolidated pack so you can see the whole order rather than a set of disconnected reports. Where one component of a mixed order fails, we tell you immediately and give you the options with their delivery and cost consequences, rather than shipping the balance and dealing with the shortfall later.

Laboratory testing scope is set by your compliance programme. Typical coverage includes dimensional stability, colour fastness across washing, rubbing, water, perspiration and light, tensile and seam strength, pilling and abrasion, print and embroidery durability, nickel release and heavy metals on trims, azo dyes, formaldehyde, phthalates and other restricted substances, and flammability where the market requires it. Reports are issued in your brand's name where your compliance file needs them to be.

Production standards, wash recipes, approved trims, strike-offs, fit blocks and measurement charts are archived against your style numbers. That archive is what allows a repeat order months later to match the original rather than becoming a fresh interpretation, and it stays associated with your brand.

Retail-ready delivery and packaging

Private-label buyers usually want product that goes straight to the shop floor or to a fulfilment pick face without handling, so packaging is specified as carefully as the garment. Options include folded and polybagged with branded bags and warning text, folded on board with tissue, clips and collar support, hanging on your own hangers with sizers and hanger caps, boxed presentation for gifting and premium lines, and e-commerce-ready single-item packs with the shipping label pocket already applied.

Retail preparation applied at the factory includes price tickets and pre-priced labelling, barcodes and SKU labels, security and EAS tags, sizers and hanger allocation, and pre-pack ratios by size or by store. For buyers running store-level allocation, cartons are packed and marked per store so they are cross-docked on arrival rather than opened, sorted and re-picked - a saving that usually exceeds the cost of the service.

For e-commerce brands, we can pack to the format your fulfilment centre requires, including individual polybags with barcode placement to their specification, mixed-SKU master cartons with manifest, and carton dimensions and weights set to their receiving limits. Sending us the fulfilment centre's inbound manual at order confirmation avoids the most common cause of an inbound rejection.

Confidentiality, exclusivity and design ownership

Brands are reasonably cautious about handing designs to a sourcing partner. Your tech packs, patterns, artwork, fit blocks, trim designs and commercial terms are treated as confidential and are not shown to other buyers. We sign non-disclosure agreements as a matter of course, and design exclusivity on a developed style can be confirmed in writing where you require it.

Patterns and fit blocks developed for you at your cost belong to you and are released to you on request. Artwork and trim designs you supply remain yours. Where we develop a style speculatively and offer it to you, we say so explicitly, so you always know whether a design is exclusive to your brand or an open offer.

The same transparency applies to sourcing. We tell you what kind of unit is making your product and what its relevant certifications are, and we support your own audit, social-compliance assessment or factory visit where your programme requires it. Starting a private-label programme

The practical starting point is a conversation about the brand rather than about a single style. Tell us the market you sell into, the price architecture, the quality level you need to hold, the categories you want to cover and your realistic first-order volumes. From that we can advise which categories are viable at your volume today and which need to wait until you have depth, which is more useful than quoting everything.

First orders are deliberately kept manageable. Denim starts at 500 pieces per style and colour, most other categories at 300, and lower where styles share fabric or print lots. The goal of a first order is to prove the fit, the quality level and the delivery reliability so the second order can be placed with confidence rather than hope.

Do I need a tech pack to start private-label production?

No. If you have one we follow it precisely and raise written queries where something is ambiguous. If you do not, we build one with you from reference garments, sketches or photographs, document the construction and measurements, and hand you the completed pack as your own document, which you keep and can use with any supplier.

Will my designs stay confidential?

Yes. Tech packs, patterns, artwork, fit blocks, trim designs and commercial terms are treated as confidential and are not shown to other buyers. We sign non-disclosure agreements as standard, and design exclusivity on a developed style can be confirmed in writing. Can you produce several garment types under one order?

How do you keep a repeat order consistent with the first?

A repeat is produced and judged against that archive rather than re-interpreted, which is what allows a private-label programme to run across several seasons without drifting.

Can you deliver goods ready for retail or e-commerce fulfilment?

Yes. Price tickets, barcodes, EAS tags, sizers and hangers are applied at the factory, and cartons can be packed to store-level allocations for cross-docking. For e-commerce we pack to your fulfilment centre's inbound manual, including barcode placement, mixed-SKU master cartons with manifest, and carton weight and dimension limits.
